IFJ Management Ltd is the data controller for the personal data described in this policy. We are registered in England and Wales (company number 16993625). 2. What we collect

  • Contact and enquiry details you give us (such as your name, email, phone number and property details).
  • Information submitted through our valuation form.
  • Correspondence between you and us.
  • Basic technical data from your visit to this website.

3. How we use it, and our lawful bases

We use your data to respond to enquiries, provide and manage our services, and contact potential business customers about what we offer. Our lawful bases are legitimate interests (Article 6(1)(f) UK GDPR) for running and marketing the business, consent where you submit our valuation form, and contract where we act for you as an owner. We use an internal, AI-assisted system to help review and respond to correspondence efficiently. This extends our capacity to review messages; it does not change the nature of the activity.

4. Who we share it with

We share data only with the service providers that help us run the business, and we do not sell your data. Our main providers are Anthropic (AI processing), IONOS (email hosting), Bluehost (website hosting), Notion (enquiry pipeline), Guesty (property management), Suiteop (guest experience), Dropbox (file storage) and Xero (accounting). Each is engaged under appropriate data-processing terms.

5. International transfers

Some of our providers are based outside the UK. Where data is transferred internationally, it is protected by appropriate safeguards such as UK Standard Contractual Clauses or the UK International Data Transfer Agreement.

6. How long we keep it

We keep personal data only as long as we need it for the purpose it was collected, or as required by law, and then delete or anonymise it.

7. Your rights

You have the right to access your data, to have it corrected or erased, to restrict or object to processing, to data portability, and not to be subject to solely automated decisions with legal effects. To exercise any of these, email [email protected].
